House of Friendship provides housing support for people living in supportive and affordable housing. The Building Superintendent contributes to safe, respectful, well-maintained housing environments by supporting building operations, occupancy documentation, rent administration, and timely coordination with Housing, Finance, and the Property Services teams. The Building Superintendent is responsible for the day-to-day operational support of assigned residential buildings, with a focus on safe building conditions, accurate occupancy and tenancy-related documentation, rent collection and tracking, arrears follow-up, unit turnover coordination, and resident-facing building related support. The role works collaboratively with the Housing team, Finance, Property Services, contractors, and other internal partners to support housing stability, operational compliance, and timely issue resolution. Using a respectful, trauma-informed, and person-centered approach, the Building Superintendent maintains professional boundaries while supporting residents to understand building expectations, occupancy responsibilities, rent-related processes, health and safety requirements and community standards.


This is a permanent, salaried, full-time (37.5 hours per week) position with paid sick time, personal days, vacation time; group health benefits and defined contribution pension plan. Schedule is generally Monday to Friday, daytime hours. Some flexibility is required including on call hours. Valid G class driver’s licence and access to a reliable vehicle are preferred or may be required depending on site assignment and travel expectations. Regular travel within Waterloo Region.


Key Responsibilities:

  • Provide day-to-day oversight of assigned supportive and affordable housing buildings, including common areas, exterior grounds, building systems, vacant units, and resident-facing service areas

  • Serve as a consistent on-site contact for residents, Housing staff, Property Services, Finance, contractors, vendors, and visitors regarding building operations, maintenance concerns, rent-related questions, and occupancy matters

  • Collect, receive, record, and track rent payments and related housing charges in accordance with House of Friendship procedures, and submitted to Finance as required

  • Maintain current and accurate occupancy agreements, tenancy-related agreements, resident records, amendments, renewals, notices, warnings, and supporting documentation in accordance with program requirements and internal processes

  • Prepare and issue approved warnings, notices, reminders, and follow-up documentation related to occupancy expectations, rent arrears, unit condition, safety concerns, pest control preparation, or community standards, in consultation with Housing leadership as required

  • Use Acori software and other required systems to support workflows

  • Support residents during move-in, transfer, and move-out processes by explaining building expectations, rent payment processes, community standards, safety procedures, maintenance requests, and occupancy responsibilities

  • Track, coordinate, and support unit turnovers, including inspections, documentation, key control, cleaning, repairs, pest treatment, contractor scheduling, unit readiness, and communication with Housing and Property Services

  • Conduct routine inspections of units, common areas, building systems, exterior areas, and safety equipment, documenting deficiencies and coordinating corrective action with Property Services or contractors

  • Support health and safety in the building by identifying hazards, responding to urgent concerns, completing required documentation, reporting incidents, supporting emergency procedures, and promoting safe building practices

  • Coordinate pests, bed bug, rodent, and other control responses, including inspections, resident communication, prevention education, contractor coordination, treatment follow-up, and documentation

  • Respond to residents’ concerns related to building-related issues in a timely, professional, respectful, and solutions-focused manner, escalating complex or sensitive issues to the appropriate Housing, , or Property Services team member

  • Coordinate repairs, preventative maintenance, work orders, contractor access, vendor follow-up, inspections, building improvements, and service disruptions to support safe and reliable building operations

  • Maintain proper key control, access control, building entry procedures, contractor sign-in practices, confidentiality, and secure handling of resident and building records

  • Participate in team meetings, site meetings, case conferencing, operational planning, inspections, and continuous improvement activities as required

  • Promote a safe, inclusive, respectful, and well-maintained residential community aligned with House of Friendship values and the needs of people living in supportive and affordable housing


Job Specific Knowledge/Skills:

  • Knowledge of supportive and affordable housing operations, occupancy administration, rent collection processes, arrears follow-up, resident engagement, and housing stability practices

  • Knowledge of residential building operations, preventative maintenance, inspections, contractor coordination, work order follow-up, and unit turnover processes

  • Understanding of occupancy agreements and tenancy-related documentation, including the importance of current, accurate, confidential, and complete records

  • Ability to identify health and safety hazards, maintenance deficiencies, pest or critter concerns, security issues, fire safety concerns, and operational risks

  • Knowledge of pest management practices, treatment preparation, resident communication, contractor coordination, prevention strategies, and follow-up documentation

  • Ability to prepare clear written communication, warnings, notices, reminders, inspection notes, incident records, rent follow-up records, and turnover updates

  • Ability to use Acori software and other systems to support accurate tracking, reporting, communication, and follow-up

  • Working knowledge of Microsoft Office, including Outlook, Word, Excel, and Teams

  • Ability to work collaboratively with Housing, Finance, Property Services, contractors, vendors, community partners, and residents

  • Strong attention to detail in rent tracking, arrears documentation, occupancy records, agreements, notices, warnings, inspections, and follow-up tasks

  • Ability to respond calmly and appropriately to urgent, sensitive, or complex building and resident situations

  • Demonstrated ability to balance property operations, resident engagement, safety requirements, administrative accuracy, and housing stability goals


Education/Experience:

  • Minimum 3-year college degree or diploma in a relevant field such as property management, building operations, facilities management, housing, social services, community services, or a related discipline; equivalent experience may be considered

  • Minimum three plus years of relevant experience in residential building operations, supportive housing, affordable housing, property management, facility coordination, social housing, or non-profit housing environments

  • Experience with rent collection, rent tracking, arrears follow-up, resident records, occupancy or tenancy-related agreements, notices, warnings, and housing administration is strongly preferred

  • Experience coordinating maintenance, inspections, contractors, pest control, unit turnovers, repairs, and building safety follow-up

  • Experience working directly with residents, participants, or tenants in supportive housing, affordable housing, community housing, or residential service settings is strongly preferred

  • Experience using Acori software is preferred; experience with Microsoft Office, work order systems, property management systems, or related databases is an asset

Rate of Pay:

At House of Friendship all compensation ranges are categorized under a series of “grades” and we base our payment structure on internal equity. When determining rate of pay, a candidate’s past related experience will be taken into consideration.


Grade: 6 (Manager I)

Min: $34.62

Mid: $39.36

Max: $44.09


Working Conditions: 

  • 37.5 hours per week, typically daytime weekday hours; flexibility may be required to respond to building needs, emergencies, unit turnovers, contractor schedules, and resident issues

  • Participation in an after-hours emergency response or on-call rotation may be required

  • Regular work in residential buildings, units, common areas, mechanical or service areas, offices, outdoor grounds, and construction or maintenance environments

  • Frequent walking, stair climbing, standing, bending, light maintenance activity, inspections, and outdoor work in varying weather conditions

  • Regular interaction with residents who may have complex support needs or may be experiencing crisis, conflict, trauma, mental health concerns, substance use, poverty, disability, or housing instability

  • Exposure to pest control situations, cleaning issues, maintenance concerns, construction activities, noise, odours, and urgent building conditions may occur

  • Travel between House of Friendship residential properties, program sites, vendors, and community locations may be required

  • Encountering participants at program sites who may be under the influence of alcohol or other drugs, and/or experiencing symptoms of mental illness can be expected
