The administration team provides support to our programs at House of Friendship. The Receptionist supports the organization’s success by providing reception and administrative office support at House of Friendship’s Administrative office.

 

** This is a permanent, salaried, full-time (37.5 hours per week) position with paid sick time, personal days, vacation time; group health benefits and defined contribution pension plan.

Schedule Monday to Friday, 8:30am to 4:30pm, on-site. **

 

Key Responsibilities:

·        Greet and provide information and direction to visitors to the Administration Office

·        Maintain the Visitors’ Log, welcome area and supplies for visitors/guests

·        Coordinate pick up of supplies or materials from main office for House of Friendship staff

·        Operate telephone system to answer and forward telephone calls, take messages and provide information as required

·        Maintain House of Friendship organizational outlook calendar

·        Sort and distribute incoming mail; process outgoing mail

·        Sort and distribute emails in assigned organizational email boxes

·        Provide administrative support for meetings as delegated, including food orders, RSVP tracking and other tasks as assigned

·        Provide support for booking of equipment and meeting rooms

·        Provide administrative support for House of Friendship’s complaint handling procedure

·        Maintain, inventory and order office and hospitality supplies as needed

·        Coordinate all office equipment maintenance at the Administrative office 

·        Assist Executive Assistant with administrative support as needed for Board meetings, Organizational Leadership Team-led meetings or Leadership Development Day, etc. (i.e., catering, venue or room booking, etc.)

·        Maintain a clean, organized kitchen with supplies as needed

·        Provide select Property Services administrative support such as pulling and emailing weekly task reports from Eptura, updating the maintenance calendar, formatting documentation, updating and emailing tenant notices of maintenance work, etc.

·        Coordinate and train volunteers to cover for vacations

·        Be backup to Executive Assistant for select duties during absences

·        Proven problem solving, judgement and time management skills

·        Highly warm, personable and approachable professional with experience providing exceptional customer service

·        Self-starter with demonstrated ability to work effectively, individually and within a team

·        Able to prioritize and multi-task in a busy environment

·        Highly organized and detail-oriented with a high degree of accuracy

·        Excellent working knowledge in Microsoft Office (Word, SharePoint, Outlook, Excel)

·        Excellent oral and written communication skills

·        Experience working in a database an asset

 

Education/Experience:

·        Minimum Grade 12 education with post-secondary certificate or diploma in office administration preferred

·        Minimum 2 years of administrative/reception experience required

 

Critical Skills:

·        Commitment to understand and uphold the mission and values of House of Friendship is expected

·        Exemplary emotional intelligence, resilience, communication, conflict management and problem-solving skills required

·        Ability to work professionally as a team member with staff participants and community members

·        Experience or strong interest in working with diverse populations including people from various cultural backgrounds, income levels, and sensitivity to their needs

·        Experience with and commitment to using an anti-racism, anti-oppressive and trauma informed approach to consultation, program design, evaluations of processes and service delivery

·        Must be dependable, professional, flexible, a team player, and have a positive attitude

·        Respectful, supportive and engaging approach to persons with physical and/or cognitive disabilities, addictions, mental illness and other life challenges

·        Excellent project, timeline and deadline management skills including skills in logistics, planning and detailed record keeping

       Time off includes three (3) weeks of vacation, 5* personal days (3 for 2025) and sick credits totaling approximately 12 days per year

Rate of Pay:

At House of Friendship all compensation ranges are categorized under a series of “grades” and we base our payment structure on internal equity. When determining rate of pay, a candidate’s past related experience will be taken into consideration.

 

Grade: 3

Min: $20.08

Mid: $21.80

Max: $23.51

 

Working Conditions: 

·        37.5 hours per week; generally daytime, weekday hours

·        All weekly hours will be worked on-site; there is no option for remote work

·        Encountering participants at program sites who may be under the influence of alcohol or other drugs, and/or experiencing symptoms of mental illness can be expected
